🟢 Booking a New Appointment:
Click on “Appointments” in the dashboard. Then click on the desired time slot under the staff column. A window will pop up where you can search for an existing client or register a new client to complete the appointment booking process.
🟢 Canceling an Appointment:
Go to the appointments calendar and click on the booked client’s name. You will see a “Cancel” option there. Click it to complete the appointment cancellation process.
🟢 Rescheduling an Appointment:
Go to the appointments calendar and click on the booked client’s name. You will see a “Reschedule” option. Click it to complete the appointment rescheduling process.
🟢 Update Appointment Status:
To update an appointment status, go to Dashboard > Appointments and click on the client's name. A new pop-up window will appear. In this window, you'll find the Appointment Status option. From the dropdown menu, select the appropriate status:
Arrived – Select this when the client arrives at the reception.
Waiting – Choose this if the client has arrived but needs to wait before the service begins.
In Progress – Select this when the client is in the service room.
Complete – Choose this after the client’s service is finished.
No-show – Select this if the client does not visit today.
After selecting the desired status, click the Update button. That’s it!
🟢 Appointment Notes: Go to Dashboard > Appointments and click on the client’s name. A new pop-up window will appear. In this window, you’ll find the Notes field, where you can add relevant appointment notes. After entering the notes, click the Update button to save them.
🟢 Quick Outstanding View: Go to Dashboard > Appointments and click on the client’s name. A new pop-up window will appear, where you can view the client's outstanding amount. From the Client Card/Client Profile Page, you can view all financial data in a well-organized format.
🟢 New Invoice / Billing / POS: Unnooti provides multiple options for creating invoices.
Option 1: Go to Dashboard > Appointments and click on the client’s name. A pop-up window will appear. Click on the Invoice button, and you’ll be directed to the POS page, where you can:
Add multiple services, packages, products, vouchers and memberships
Apply item-wise flat & percentage discounts
Record payments using multiple methods
Add invoice notes, sales staff names, referrer names, and next payment date reminders for the outstanding collection
After entering the details, click the Finalize button to create the invoice. You can print, email, or send the invoice download link via SMS.
Option 2: From the Dashboard, by clicking on +New Sale, you can also create invoices for:
Registered clients
Unregistered clients
Walk-in clients
From the Client Card/Client Profile Page, you can view all financial data in a well-organized format.
🟢 Session Redemption:
To redeem a session, go to the POS page via one of the following paths:
Dashboard > New Sale > select the desired client name
Dashboard > Appointment > select the client and click on Invoice
Dashboard > Clients > select the client > Financials > Add New Invoice
Once on the POS page, search for and select the desired Service or P. Package to redeem. Then, click the Finalize button to complete the process.
You can view the Service or P. Package session redemption history under the client's profile (client card) accordingly.
🟢 Client Card / Profile Page:
To access a client's profile and records, go to Dashboard > Clients, search for the desired client, and click on their name. Alternatively, you can click on the client’s name directly from the appointment calendar. The Client Card/Profile page will open, displaying all essential options and the complete record of the client’s journey with your company.
👉 Profile: This tab shows a quick summary where you can view, edit, and update all registered information related to the client.
👉 Appointments: View the complete appointment history of the client at a glance in this tab.
👉 Services: This tab displays all sold services—both single and packages—along with their usage history. You can easily identify whether a service has been used or is still unused/pre-purchased.
👉 P. Packages: This tab presents all sold promotional packages and their usage history in an organized manner.
👉 Financials: In this tab, you can view all financial information related to the client.
👉👉 Invoices: View the complete list of all created invoices. On the right side, you’ll find action icons with the following options:
View: View the full invoice.
Print: Print the invoice.
Share: Share the invoice via email, SMS, or copy the invoice link.
Refund: Request a refund amount to return money to the client for this invoice or item.
Edit: Edit the invoice, including sales staff name, items, and payment details.
Add Payment: Add any outstanding payment to the invoice.
Void: Permanently void this invoice from the system.
👉👉 Add New Invoice: Create a new invoice for this client.
👉👉 Payments: See the client’s full payment history.
👉👉 Outstanding: View all outstanding payment records.
👉👉 On-Account: Manage the client’s e-wallet for pre-paid balance use.
👉👉 Refund: Track all refund history.
👉👉 Voided: View all voided invoices.
👉👉 Voucher: Access the client's available vouchers.
👉👉 Loyalty Points: View loyalty points earned from purchases.
👉👉 Membership: Check membership status and related information.
🟢 EMR (Electronic Medical Records):
👉 Prescription: Add, view, or share client prescriptions.
👉 Treatment Plan: A revolutionary and powerful feature to create structured treatment/service plans with multiple service names and appointment dates. You can record treatment outcomes and progress. The system will indicate whether the client is following the plan regularly or irregularly.
👉 Treatment Data: Add detailed treatment/session information, including ingredients used, laser settings, treatment areas, session numbers, and any additional notes.
👉 Photos: Capture and view before-and-after service photos using an iPad. This helps track transformation and treatment effectiveness.
👉 Consent Forms: Store all signed consent forms for treatments. A staff member must ensure each client signs the treatment consent form before every session using a smart device (iPad).
👉 Medical History: Record and update the client's medical history. Consultants should review this before recommending any service or treatment.
👉 Lab Test: Upload and store lab test reports for future reference and access.
🟢 Communications: This tab allows you to view past communications and initiate new ones via Email, SMS, or WhatsApp.

🟢 Reports Overview:
👉 Go to Dashboard > Reports > Finance to view reports such as Day Closing Report, Daily Sales, Daily Collection, and more.
👉 Go to Dashboard > Reports > Client to access reports like Last Visit, Memberships, Service Usage, P. Package Usage, Treatment Plan, Referral, Voucher, etc.
👉 Go to Dashboard > Reports > Appointment to view Staff Appointment Schedule, Appointments by Status, Waiting Time/Queue, and related reports.
🟢 Go to Dashboard > Call Center.
👉 Here, you can add, search, edit, update the status of a lead, or convert a lead into a client.
Collect leads from social media or phone calls and enter them here to begin nurturing. Use this space to communicate and follow up with leads regularly, turning them into loyal clients.
This module is the central hub for all lead communications. Every lead is a future potential client—follow up monthly and record all communication history in the system.
👉 You can also create and manage tasks here. The task feature functions as a team-based work management system to ensure smooth and organized operations.

🟢 Reports Overview:
👉 Go to Dashboard > Reports > Call Center to view reports such as Leads, Lead by Status.
👉 Go to Dashboard > Reports > Client to access reports like New Client etc.
🟢 View Waitlist/Queue:
Go to Dashboard > Waiting to view the live waitlist of your clients.
Here, you can see how many clients are currently waiting in the lobby, assess the real-time waiting pressure, and adjust your service priorities to accommodate additional clients accordingly.
🟢 View Appointment List & Notes:
Go to Dashboard > Appointments to view all of today’s appointments and their associated notes.

Then navigate to EMR > Photos > Upload Photo — capture the before or after treatment image using the iPad or select from the gallery and upload it instantly.

🟢 Manager Access & Setup Instructions:
The manager must have full access to the software to monitor all activities and provide quick support wherever users face issues. Do not share this software with other users until all settings under the Setup menu have been properly configured.
The manager should complete all configuration options under the “Setup” menu, located in the user dropdown. Below are the setup options with their instructions:

👉 Branch Details: Enter your business information accurately. All fields are mandatory to ensure proper system operation.
👉 Staff Manager: Add or disable users and assign proper permissions. User access throughout the software will depend on the permissions granted here. Enter all information accurately.
👉 Service: Input all your services, categorized with proper names and pricing. This enables service sales and tracking.
👉 Product: Add all product information under appropriate categories. This is essential for sales and inventory management.
👉 Promotion Package: This is a specially designed package created with marketing in mind. If you want to offer promotional service packages with multiple sessions at a discounted price, you can create them here. Once added, these packages can be sold and tracked seamlessly throughout the system.
👉 Client Sources: Update client source channels to understand where your clients are coming from. This is very useful for marketing insights.
👉 Label Translator: Customize field labels across the software. For example, if you prefer "Service Note" instead of "Treatment Note," you can make that change here.
